General Information

If I have multiple client codes, will there be only one login?

Yes. The new system supports a single login for users that manage multiple client codes, and allows you to toggle between those codes in one work session.

Will I still use Swipeclock as my time and attendance solution?

Yes. If you are currently using Swipeclock you will continue to do so for time and attendance purposes. If at any time you would like to explore other solutions, including Prism Time & Labor, we would be happy to discuss that with you.

Migration

What is the client training process?

You will receive specific information directly from ESC on various training opportunities that will be offered.

When will I migrate, how will I know to use the new system?

In early July clients will be informed of the target timeline for their migration. As we get closer to that date, you will receive direct communication with specifics regarding your migration schedule and training, including your “go-live” date.

Payroll

Will our deadlines for payroll submission be changed?

No. All current payroll deadlines will remain the same as we migrate to the new system.

Will employee direct deposits continue without interruption?

Yes. All current direct deposits will be migrated to the new system and there will be no interruption to the direct deposit process.

Employee Benefits

Will we be able to enroll in benefits online?

All ESC sponsored and administered plans will be setup for online benefits enrollment.

Are any of my benefits changing due to this technology change?

No, all employee benefits that are currently available to you will remain in place.

When will my employees be able to enroll in benefits online?

All ESC sponsored and administered plans will be available to employees upon their next renewal or for new hires.

Will employees be able to view or see what benefits they are enrolled in?

All ESC sponsored and administered plan will have all current and future benefits enrollments loaded into the system and employees will be able to see their enrollment elections.

What types of plans will be available for online benefits enrollment?

Depending upon the client’s benefit plan offerings, employee benefits can be viewed such as medical, dental, vision, life, STD, LTD, section 125, 401k retirement plans, etc.

Does the system manage eligibility?

For all ESC sponsored and administered plans, ESC’s new technology system will calculate effective and eligibility dates for new hires based on the employer guidelines. Reminders and notifications will also be available as employees approach their eligibility period.

What kind of employee benefit changes can be made through the system?

The system supports various Qualifying Life Events (QLE’s) such as marriage, birth of a child, adding/removing dependents, etc. Other demographic changes made throughout the system such as name and address changes, will be automatically reflected in the employee benefits record.

New Hires

Will the new hire process be automated?

Yes. Employees will have the ability to complete all required forms through the system in addition to benefits enrollment.  ESC onsite support is still available for all questions regarding the process and benefit options.

Are we able to send our new hires to ESC if we still want to?

Yes, employees can still come to ESC to meet with a qualified benefits consultant to assist with navigation through the onboarding process or answer any benefit related questions.

What happens if the employee does not complete the entire new hire process?

Employees and client contacts can be setup to receive reminders about their progress throughout the new hire process.

Can I use the online onboarding process for both my local (WNY) and out of area employees?

Yes. The system will replace the need for scanning/faxing paperwork for employees who are unable to visit ESC’s office. Those employees can also call in to speak with a member of our friendly and dedicated team should they require assistance throughout the process. Local employees are also able to use the system and are welcome to make an appointment to visit ESC’s office if they would like to meet with a representative.

Will my funding day stay the same?

Yes, there will be no changes in your funding day and no changes in your funding method.

Will ESC use the same bank accounts?

Yes, we will continue to use all of the same accounts as we move into our new platform.
